Policy Statement
Silver Bird Consultancy Services Ltd (“Silver Bird”) will, so far as is reasonably practicable, protect the health, safety and wellbeing of its directors, of anyone it engages, and of the clients and learners it works with. We meet our duties under the Health and Safety at Work etc. Act 1974 and the regulations made under it.
With fewer than five employees, Silver Bird is not legally required to write this policy down. We do so because our clients expect it, and because planning for safety is part of doing the work well.
1. Responsibilities
Alexis Assimacopoulos, Managing Director – Overall responsibility for health and safety; carries out and reviews risk assessments; leads safe delivery in every session
Leah Assimacopoulos, Director – Supports the annual review and keeps records
Associates and subcontractors – Follow this policy and the client’s site rules, and report hazards and incidents straight away
Clients – Responsible for the safety of their own premises; Silver Bird follows their site rules and inductions
2. Main Risks and Controls
Silver Bird’s work is low-risk office-based consultancy and training. The main risks, and how we control them:
Travel and fatigue – Rail as the default; travelling the day before early starts; no driving after long delivery days; planned breaks
Lone working and unfamiliar venues – Someone always knows the travel plan and expected return; a charged phone; client site contacts noted in advance
Client premises – Client site induction, fire and evacuation procedures followed; room layout, trailing cables and equipment checked before each session
Workshop activities – Activities chosen to suit the room and the group; no physical tasks that need special equipment; adjustments for anyone who needs them
Home working and screens – Display screen equipment assessed and set up properly; regular breaks from the screen
Stress and workload – Capacity limits (no more than 10 in-person days a month); rest days after heavy travel; support sought early
3. Arrangements
At client sites: we follow the client’s site rules, induction, fire procedures and first aid arrangements, and confirm the room, access and any participant needs before the session.
Accidents and incidents: any accident, near miss or dangerous occurrence during our work is reported to the client’s contact the same day and recorded by Silver Bird. Where the law requires it, incidents are reported to the Health and Safety Executive under the RIDDOR regulations.
First aid and wellbeing: Alexis Assimacopoulos is a qualified Mental Health First Aider, able to recognise signs of distress and signpost support. Physical first aid at client sites follows the client’s arrangements.
Participants’ wellbeing: sessions include regular breaks, and people can step out at any time. Concerns about someone’s safety are handled under Silver Bird’s Safeguarding Policy.
Associates and subcontractors: before any start, we check that they understand this policy and hold appropriate insurance, and we brief them on the client’s site arrangements.
Equipment: Silver Bird’s laptops and chargers are kept in good condition; we use the client’s own audio-visual equipment where it is provided.
Review and Approval
The directors review this policy and its risk assessment every year, and sooner after any incident or significant change in Silver Bird’s work.
