Policy Statement
Silver Bird Consultancy Services Ltd (“Silver Bird”) plans ahead so that disruption does not let clients down. If something goes wrong, we tell every affected client the same working day and offer a way to keep their work on track: delivery as planned, a switch to virtual delivery, or rescheduling at no charge.
As a two-director company whose client work is delivered by Alexis Assimacopoulos, our main continuity risk is his availability. This policy sets out how we manage that risk and the others below.
1. Critical Activities and Recovery Targets
Telling affected clients about a disruption – Immediately, and the same working day at the latest
Scheduled sessions – Delivered as planned, moved to the client’s Teams, or rescheduled at no charge, as agreed with the client
Replying to client requests – Within one working day
Access to email, files and learning materials – Within one working day, from any device
Invoicing and finance – Within five working days
2. Scenarios and Responses
Alexis is ill or unavailable for a session – Tell the client at once; agree rescheduling or virtual delivery. Materials are available to the client in advance, so little is lost. Where the client requires a replacement, propose a suitably qualified practitioner for its approval, at no extra fee.
Alexis is unavailable for a longer period – Leah Assimacopoulos contacts every client within one working day, agrees new dates or releases them from bookings, and returns client information as each client directs.
Travel disruption – Travel the day before morning starts; use alternative routes; with the client’s agreement, switch to virtual delivery (e.g. Microsoft Teams) on the same date.
Laptop lost, stolen or broken – All files are in Microsoft 365, so work continues from another device; passwords are reset and sessions signed out; a replacement is set up within one working day.
Internet or power failure – Use a mobile phone connection, or move to another location; reschedule if neither works.
Cyber incident or data breach – Contain it, reset credentials and check multi-factor authentication; tell affected clients without undue delay and within 24 hours; report to the Information Commissioner’s Office within 72 hours where the law requires.
Microsoft 365 or another key supplier fails – Join sessions through the client’s own Teams; keep a local copy of the day’s materials; contact clients by phone.
3. Key Information and Contacts
Email, files, client contacts and booking details are kept in Silver Bird’s Microsoft 365 Business Standard account, protected by multi-factor authentication. Accounts are kept in FreeAgent, an online accounting system. Both directors can reach the information needed to contact clients if one is unavailable.
Lead, all client work – Alexis Assimacopoulos (Managing Director) alexis@silverbirdconsulting.com, 07356 239702
Back-up for communications and administration – Leah Assimacopoulos (Director) leah@silverbirdconsulting.com, 07356 239702
Emergency services – 999
Testing, Review and Approval
Once a year the directors test this policy: signing in from a second device, restoring a file from Microsoft 365, checking that the client contact list is current, and confirming that Leah Assimacopoulos can reach it. The policy is also reviewed after any real disruption.
